Job Description

Responsible for greeting visitors, answering the main reception line and main office support.


  • Support to CTE Administration (includes answering phones)
  • Support to health office and assist with MERT responses/Emergency Response Team
  • Support CTE Clerical positions/offices as required
  • Schedule meetings as requested (SharePoint/Outlook)
  • Schedule conference rooms as requested
  • Supervise students in office
  • Reception desk coverage / Phone Coverage / Greet and Assist guests
  • Distribute Mail: interoffice and post-office
  • Typing and proof-reading documents
  • Communication with BOCES and district partners (maintain contact lists and collect calendared events)
  • Summer Specific:
  • Parent Packets – coordinate updates, packet assembly and mailing in August
  • Obtain Marking Period information/open house dates from districts. Collect district calendars (add to SharePoint)
  • Summer programs; gather student contact information, field trip support, transportation, parent, and discipline support
  • Assist with updates to Staff and Student handbooks (proofread and edit)



  • Managing substitute teacher system (SEMS)
  • Student discipline and attendance letters
  • Student Attendance (entering tardies, assist signing in and out)
  • Student parking paperwork
  • Managing building keys
  • Field trip and Bus Hive support
  • Scheduling all Annual Professional Reviews (APPR)
  • My Learning Plan support
  • Support Office Account Clerk (back-up as needed; deliveries,filing,and accounting)
  • Support Technical Assessment Administration; data entry, signing in and assisting proctors

Additional clerical duties as assigned by Executive Principal or Administrators

Job Qualifications

** Monroe County Residency Required

Must possess or meet requirements for Civil Service title Office Clerk III.  Clerical experience strongly preferred, including word processing and data base knowledge.  

Clerk III - High School diploma and 2 years paid full-time or part-time or volunteer equivalent office clerical or secretarial experience; or an Associate’s degree in Secretarial Science, Office Technology or a closely related field.

  • Three to five years of administrative office experience
  • Strong organizational and interpersonal skills
  • Excellent verbal and written communication skills
  • Should have good judgment and initiative
  • Must be an excellent team player
  • Energetic, motivated, detail oriented and punctual
  • Ability to work independently and handle multiple projects simultaneously and prioritize tasks
  • Strong computer background, (MS Office Suite, School Tool, SharePoint, etc.)
