Job Description

The Payroll Clerk works alongside the Payroll Supervisor in processing the BOCES payrolls and is primarily responsible for maintaining attendance records in WinCap.


  1. Maintains attendance records in WinCap
  2. Maintains attendance tables
  3. Runs the annual attendance rollover, processes the accruals for the new year and verifies that all time is accurate; reconciles with departments prior to rollover to ensure that records are accurate
  4. Adds sick and personal days for new hires
  5. Monitors leaves; usage of sick and personal time and any transition to disability or unpaid time to verify that payment is correct and also documents paid leaves in the WinCap leaves tab
  6. Implements docks for unpaid time
  7. Receives attendance reports from departments and reviews absences prior to input and verifies the substitute payroll transaction report with a 2 week attendance report from the SEMS system
  8. Processes timesheets
  9. Reviews all transactions by checking rates and budget codes
  10. Checks input of employment recommendation forms for accuracy
  11. Reviews the salary change report prior to the processing of payroll
  12. Maintains longevity tab and inputs transactions for payment due in each pay period
  13. Acts as back up to Payroll Supervisor in his/her absence
  14. Explains payroll related information and options by responding to inquiries
  15. Provides attendance reports or earnings reports as requested
  16. Additional duties as required
Civil Service Title
Payroll Clerk or Office Clerk III (Competitive)
Job Qualifications

Must possess or meet requirements for Civil Service title of Payroll Clerk or Office Clerk III (Competitive).  Three years full-time experience in payroll processing OR 1 years' experience in payroll processing plus an Associate's degree in Accounting or Finance OR 2 years' experience in payroll processing plus an Associate's degree OR 2 years' clerical experience.
