Provide administrative support and clerical assistance for Curriculum, Instruction and Professional Development (CIPD) Department.

Typical Duties:

  1. Provide clerical support to the Coordinator of CIPD and 10-month Instructional Specialists
  2. Maintain the Professional Development website and on-line course descriptions and registrations in Frontline Professional Growth system.
  3. Coordinate workshops including: dissemination of flyers, arranging for consultants, review contracts, maintain registration database, create sign in sheets and name tags, keep attendance records, certificates, order refreshments and snacks for trainings, summarize evaluations, billing, etc.
  4. Provide lead coordination for the Professional Development Center room reservations both internally and for outside groups following approved protocol.
  5. Work directly with O & M and Instructional Technology specialist to set up rooms for conferences and greet participants.
  6. Assist in the publication of the Professional Development Guide and publicize the newsletter coordinating the content with the BOCES marketing representative.
  7. Work with Coordinator of CIPD, Assistant Superintendent and Administrative Assistant to complete CIPD reports and the BOCES 2 report card data.
  8.  Maintain and update the mailing and email distribution lists.
  9. Answer office calls and emails to provide assistance to districts when necessary.
  10. Create daily updates to the Electronic Display Board for building activities and make signs for the trainings in the Professional Development Center.
  11. Work collaboratively with Coordinator of CIPD, Assistant Superintendent and Administrative Assistant to promote and assist with all Professional Development sessions.
  12. Orders office supplies and creates other purchase orders as necessary in the Wincap system.
  13. Other duties as required

SE-OFFICE CLERK II, III or IV - Program Secretary (Full-time,12 months/yr)SE/OC 2-4Prog Sec-4/30/2024

Provide clerical support and office organization to the Special Education Supervisor.

TYPICAL DUTIES:

  1. Provide clerical support and office organization to Special Education Supervisor. 
  2. Support Special Education Supervisor in the areas that he/she is responsible for.
  3. Maintain any needed databases.
  4. Coordinates various CSE meetings during the year including re-evaluations and disseminates information.
  5. Processes addendums and requests for support services (89F’s) as needed for the student’s in her supervisor’s caseload.
  6. Use IEP/BOCES Direct for printing of class lists and following up on student information.
  7. Process student incident reports and enters appropriate information in the VADIR database.
  8. Assists in sorting of mail for the Special Education Department.  Process mail/postage.
  9. Perform other such duties as assigned by the Special Education Supervisors.
$16.00 - $20.00/Hour based on experience
SE-Office Clerical Support (Substitutes), 2024-2025SE/SubCler-4/26/24

Perform duties as assigned under the direction of the Special Education Supervisor or specified designee.

  1. Provides clerical support to the Special Education Supervisor, or a designee, including scheduling appointments, typing, correspondence, mailings and distribution.
  2. Prepares and maintains records as assigned.
  3. Performs other such duties as may be assigned by the Special Education Supervisor or a designee.
$16.00/ Hour
SE-OFFICE CLERK II, III or IV - F-T position, 12 months/yr.SE/OC2or3or4-01/23/2024

Provide clerical support to the hiring and recruiting functions that the Human Resources Coordinator is responsible for.

TYPICAL DUTIES (Will include some of these duties): 

1. Provide general clerical support; ie; filing, answering telephones, customer service, etc.

2. Support with HR functions, including: 

3. Receptionist responsibility for the Department for Exceptional Children.

  • Interview Scheduling
  • Applicant tracking
  • Processing paperwork for rejection letters
  • Status Changes/Name Changes processing for current employees
  • Processing student teacher, intern, and volunteer requests
  • Employment Recommendations

4. Supporting the management of:

  • HR Candidate Tracking
  • EC Staff Directory
  • Staff User Accounts
  • SchoolTool (Locations)
  • RecruitFront
  • Child Abuse Registry
  • ID Badges
  • On-line Mileage Approvals

5. Support with the onboarding of new hires:

  • New Hire Packets
  • Orientation Folders
  • Orientation Handbook
  • Fingerprint Clearance

6. Support for:

  • Collegial Partner/Mentor Program
  • EC Human Resources Sharepoint site
  • Professional/Paraprofessional Orientation/Staff Development (as applicable)
  • Extended School Year

7. Support with exiting employees:

  • Exit Interviews
  • Filing 105 forms for departing staff members

8. Assist with hiring and recruiting marketing (ex. organization of BOCES career fair, recruitment fair registrations, researching recruiting opportunities/events).

9. Substitute Database- keep the list current, review trackers for applicants.

10. Frontline Absence Management Support (ex. monthly sub data, substitute profiles).

11. Performs other such duties as may be assigned by the HR Coordinator.

$16.00 - $20.00/Hour based on experience
